Senior Client Service Associate - Estates


Educational Requirement: Post-secondary education in finance, business administration, or related fields preferred. Certifications or specialized training in estate administration or wealth management are considered an asset.

Tasks, Role & Responsibilities


  • Manage and execute the full estate processing lifecycle, including reviewing estate documentation, validating beneficiary designations, and coordinating with legal representatives and executors.

  • Lead the account opening and transition processes for estate accounts, ensuring accurate preparation, review, and submission of all required forms and documentation.

  • Process one-time and recurring payments/deposits specific to estate accounts, maintaining meticulous records and updating firm databases.

  • Oversee incoming asset transfers related to estates, ensuring accurate data entry of securities book values, Deferred Sales Charges (DSC), maturity dates for mutual funds, and coordinate follow-ups to obtain any missing information crucial for accurate estate accounting.

  • Maintain and update all estate-related client files—both electronic and physical—in compliance with firm standards and regulatory requirements.

  • Perform routine and ad-hoc updates for estates, including changes to address, contact details, and beneficiary information.

  • Support production and review of quarterly statements and annual reports specifically for estate accounts, working closely with portfolio managers and reporting teams.

  • Account processing, including preparing, reviewing, and submitting all required account opening forms.

  • Maintain and manage the flow of incoming asset transfers, including the update of firm systems and logs for tracking and reporting, maintaining book values for securities, DSC information and maturity dates for mutual fund securities transferred into client accounts and conducting follow-up to obtain missing values/information.

  • Financial and non-financial client updates, such as recurring payment or deposit changes, address changes, name changes, beneficiary designations, etc.

  • Creating and maintaining electronic and paper client files by scanning client paperwork and filing hardcopy per firm standards.

  • Creating and updating all client records on firm systems, including the firm’s CRM (Engage) and Portfolio management system (Ndex).

  • Responding in a timely manner to client and referring agent enquiries and requests for information.

  • Identify opportunities to enhance estate processing workflows, compliance, and client service excellence.

  • Additional responsibilities and special project work as the role grows and evolves.

Critical Knowledge, Skills and Abilities


  • Demonstrated expertise in estate processing within wealth management or financial services environments.

  • Strong understanding of estate settlement procedures, trust administration, and related regulatory requirements.

  • Love of problem solving, resourcefulness and strong attention to detail.

  • Friendly and positive with a penchant for a high level of client service.

  • Exceptional communication and interpersonal skills along with solid organizational qualities.

  • Proven analytical, planning and time management skills.

  • Ability to take initiative and can work independently as well as in a team environment.

  • Ability to meet deadlines without compromising efficiently, accuracy and attention to detail.

  • Tech savviness and proficiency in Microsoft Office.

  • Related work experience in the financial services industry desired.
